ILLUSTRATIVE SCENARIOS, NOT CUSTOMER CASE STUDIES

Branded merchandise: compare suppliers on one consistent brief

How product, logo, packaging and timing can be put into one RFQ before building an evidence-based supplier comparison.

This does not represent a real customer record. Suppliers, quantities, models and results in these examples are placeholders. A live project gets a new record based on its products, suppliers, destination and agreed responsibilities.

Assumed requirement

  • The buyer provides product references, logo artwork, estimated quantity, destination and required timing.
  • No supplier is selected. Material, printing, packing and acceptance criteria remain to be confirmed.

Working steps

  1. 01

    Create an RFQ version

Record application, material, size, colour, printing, packing, quantity and destination, separating mandatory and optional points.

  2. 02

    Normalise quotation scope

Capture unit price, tooling, sample, packing, minimum quantity, payment milestones, lead time and exclusions.

  3. 03

    Check entity and sample

Compare quotation, contract and payee entities. Arrange samples for shortlisted options and log the approved version and changes.

  4. 04

    Prepare the decision record

Put differences, evidence, open questions and risks in one matrix for the buyer’s decision.

Example deliverables

  • Purchasing brief and RFQ version log
  • Supplier and quotation comparison
  • Sample approval and correction list
  • Pre-order open-issues register

Limits and confirmations

  • Entity registration is a starting check; it does not prove capacity, quality or delivery.
  • Trademark use, labelling and destination compliance remain subject to buyer and qualified adviser confirmation.
